  • How to create Accounts from Gmail to Salesforce

Integration between Salesforce and Gmail / Google Calendar was done in the past with a solution called Cirrus Insight (end July 2017).  This solution is not giving satisfaction to a lot of users mainly for performance reasons.  Lightning for Gmail is a solution provided directly from Salesforce (cost included in the licence cost) that provides similar features in a more efficiently way.

This feature is only available for full Salesforce licences, not for Community licences.

Step By Step

First ensure Cirrus Insight is not running

To avoid feature overlapping, please check that Cirrus Insight extension is either not installed or deactivated on your Chrome Browser. If you are a Cirrus user, please deactivate the plugin rather than uninstall it. You should receive an email from Cirrus to notify you that the sync has been stopped.

Cirrus will automatically fulfill the First Name, Last Name and the email address of the Contact. If it recognizes additional values in the signature, it will populate them.

The user can then fulfill the rest of the information such as:

-Account Name – Type at least 3 characters and click on the lookup
-Language – Type at least 3 characters and click on the lookup
-Phone numbers
-Function & Titles
-Address – Be sure to check that the Signature extraction is set to “Always Review Results” in Settings > Signature Extraction

Once all the appropriate information is populated you can create the Contact by clicking on “Save”.

Google Calendar Sync

Firstly, if it is the first time the user uses Cirrus, he/she will need to activate the Google Calendar Sync.

In order to do so, the user needs to go on the Settings button > Calendar > Calendar Sync and click on “Enable Google Calendar Sync”

Image Removed

Cirrus can sync events from the Google Calendar to SFDC and from SFDC to the Google Calendar.

As a general rule, only the events that are flagged with the “Red” color and which are not “Private” will be synced from Google Calendar to SFDC.

Image Removed

To sync an event from Google Calendar to SFDC, create an event in Google Calendar, give this event the “Red” color and save it.

Make sure that the visibility is not set as Private.

Image Removed

The event will be saved on the Google Calendar and will display in red. It will sync with SFDC in the next sync cycle.

Image Removed

In the Cirrus Insight App, you can check when the last sync took place and when the next sync will happen.

To go there click on the Settings button > Calendar > Calendar Sync

•The sync cycle should be every 5 minutes.
Image Removed

Once the cycle is passed, the Event will appear in SFDC.

Image Removed

You can also create an event in SFDC, which will also be synced in your Google Calendar at the same time as the sync cycle happens.

The event synced from SFDC to Google Calendar will appear in the “Red” color as well.

Send Email to SFDC

Cirrus can send an email to SFDC and link it to a Contact.

In order to do this, open the email of a Contact that is already existing in SFDC and click on the “Add to Salesforce” button.

Image Removed

This will open a window where you can click on “Quick Add”.

Image Removed

Once done the email will be saved under the Activity History related list of the Contact.

The email can be opened on the Contact’s related list
