2. Add the following Labels

    • Scope of applicability: ww, country_accounting 

    • Country or group of countries (if applicable): belux, china, france, italy, lam, nam, uk_ie, bulgaria, dach, netherlands, iberia, poland, latvia, australia, india, japan, south_korea, thailand, singapore

    • Unit and Domain according to the List of labels to be used in the Finance Service Line space

      • E.g. 1: WW Operation in Financial Accounting under domain "Central Finance Processes & Compliance":
        • Labels to be used: ww, financial_accounting, central_fin_proc_compliance

      • E.g. 2: France Operation in Financial Accounting:
        • Labels to be used: country_accounting, france, financial_accounting
          (for country operations, the Domain is always country_accounting)


3. Fill in all fields as described above

 4. Once the description of the operation is completed, ensure it is approved and published by launching the SBS-Finance approval workflow

1. Objective and Scope

1.1. Objective of this Operation

The purpose of this document is to be guideline to process R&I allocation. This process is to allocate cost of R&I to each GBU every month. It should be prepare and allocate on D1 and submit to GBU controller on D2 before noon.

3.1. I review the R&I allocation file

SBS RtR (change RtR)(error) China will review R&I allocation file from Pascal Metivier, file name "2015 RIC Shanghai follow up", between D-5 to D-1, Pascal Metivier send confirmation to SBS RtR (change RtR)(error) before D-5 every month.

 

3.2. I receive and prepare the R&I allocation file

3.2.1. I confirm that costs are correct

 After RtR (change RtR)(error) received R&I allocation file, go to cost center report by using T-Code: S_ALR_87013611 to obtain cost for the allocation before D+1, pay attention AP has booked all voucher to make sure that cost is correct.

Cost center group is 7728-RD and another cost center that to select separately is 7728-6020.

 


Check one by one cost center, regarding cost center in R&I allocation file.

 


For example, cost center 7728-8815.

 


Pay attention that input Debit amount in actual cost column if have depre amount input it in depre. Cost column if not you can blank. Act.cost(exc.dep) column is a formulas.


If it's has cost element begin with 99 in debit amount you should to deduct it from debit amount. If cost element begin with 99 is negative amount, you should add it to debit amount.


For positive amount in cost element begin with 99.

For negative amount in cost element begin with 99.



If there is only cost element begin with 99, you can ignore.

3.2.2. I fill the "RIC Shangai" sheet (confirm this title, as well as the other) (error)

After you input the amount in every cost center, please notice the left side of the sheet.


 


You need to input the formula in current month as follow: 

  • Act.cost(exc.dep) of this month/1000/exchange rate
  • Except the blue tab, the blue tab is sum amount.


You have to input Exchange rate of current period in the sheet. 


You can use T-code: ZRATE to obtain exchange rate.

3.2.3. I verify the R&I refund in R&I allocation sheet

You should not include R&I refund in R&I allocation sheet unless you receive the confirmation form Pascal Metivier. R&I refund practice is follow:

Every month Pascal will give the confirmation to BO  case by case. BO (change BO)(error) should not make posting without Pascal's confirmation. If the grants received in the beginning of the month, Pascal will send confirmation with allocation file attached to BO (change BO)(error)before D-5 by monthly. If grants received late, Pascal will include this part in allocation file of next month. In year end, Pascal will review the whole allocation of the year and send adjustment if any in year end. (change BO)(error)


This amount should not include in R&I allocation sheet.

 

3.2.4. I check and fill the "February" sheet

Next go to sheet allocation February (Current month) to check "COST BEFORE ALLOCATION". This row comes from sheet "RIC Shanghai". Make sure that amount in the row link from the correct cell.


 

Next step in the same sheet "allocation february" (current month), check this table and use only column in red rectangle. Please ignore the column in grey color. 

 


Change exchange rate to current month in the formula

3.2.5. I prepare the R&I allocation file to book (please confirm this title as well the other)(error)

Prepare the file to book in KB15N before D+2 noon.

Then SAVE and you will see the document no. in bottom of the page. Please write down in preparation sheet for your reference.

3.2.6. I check the "RIC allocated" sheet

Go to sheet "RIC allocated" check the formulas in column "CRTS allocation From allocation speadsheet" It should link the figure from sheet "allocation february" (current month) in column "TOTAL ALLOCATED PER GBU before Chem Partner"


 

3.3. I inform that R&I allocation file is completed by email

After complete the R&I allocation file, you have to send email to inform below persons:

  • Pascal Metivier
  • Yuanjing Cheng
  • Jean-Manual Mas
  • Roland Sennrich
  • Linda Xu

Pay attention that if has special case, RtR (change RtR)(error) should inform related GBU's controller.

3.4. I check R&I allocation in cost center report

You have to check R&I allocation in cost center report to make sure that the allocation is correct.


  • Finance team and Accounting team
  • R&I team in China
  • SBS RtR (change RtR)(error) for reporting
  • SBS FO cashier and CAM
