1.1. Objective of this Operation

The purpose of this document is to explain how to post the bank statements of the Netherland Company for WP1.

1.2. Scope

This procedure applies to the following NL companies:

  • 6301 - Solvay Solutions Netherland

3. Tasks description

3.1. Responsibilities

Responsibility of Local Finance Department:

  • Scanning and sending the statements to SBS through Freshdesk ticket
  • Coding the non-standard postings and updating the OP (OP = procedure?)(error) 


Responsibility of SBS:

  • Booking the bank statement
  • Providing a monthly posting number list giving each posting number related to each statement number

3.2. Periodicity

The periodicity depends on the general bank flows.

3.3. I perform the booking


  • Files received from Local Finance might contain several pages related to various bank statements and therefore, more than one posting is required depending on the case (start posting orderly starting with the bank statement with the lowest number);
  • Check the previous balance in the bank account open items (through FBL3N), check also the balance after the posting;
  • Generally, BNP-PARIBAS bank account is "51000757" and Cash Pooling 50980000;
  • Posting and document dates can be equal, but the value date could be different.

3.3.1. I post document in FB01

"Value date" is to be included in the posting's line items to be posted.

Following the example shown above, it means that the balance of the bank account should equal to "0" EUR prior to the posting (to be confirmed before posting).
After posting, again the balance is to be equal to "0" EUR.


Bank Account the balance of the flows generated by the statement lines has to be recorded in the bank account bank 51000757 BNP-PARIBAS and Cash pooling 50980000.

Taking the example above, this means that the balance of bank account should be equal to 0 EUR (to be confirmed before posting
After the bank statement posting we should have a balance also of 0 EUR.
The balance of the flows generated by the statement lines has to be recorded in the bank account. To check if the posting is correct, the amount that has to balance the posting has to be equal of the difference between the new balance and the previous balance of the Bank Account. All IBA´s will impact account 50980000, directly from PI1 system. In a weekly basis we will enter in Account 50980000 and request CAM /controllers bank Statements. 

3.3.2. Assignment and Text

  • NN = the Bank Statement Number (located on the right side of the bank statement ( in BNP is "nr."); and
  • DDMMYYYY = the Date of the Bank Statement.

However pay attention in the ticket sent because usually write the number of customer and vendor number, but we need always to confirm in FK03 or FD03 is the name and number match.

Posting date and document date can be same date, but value date is always the one that appear in the bank statement.

Finally check if document and posting date, reference, accounts, value date, assignments, texts and amount are correct. 
After the posting we should check the new balance of the bank account (FBL3N):

  • In the bank statement the new balance it's the same in bank account balance. If it's not the same balance we should analyze our posting and bank account, probably was inserted a wrong amount or a new posting was made by someone. If that happen we should contact the customer and let him know that the account balance is not the same as shown in bank statement. 

3.3.3. I post the counterpart for bank accounts

We have recurrent situations to post the counterpart of bank account in a Vendor, Customer and G/l account. If we are not finding the counterpart in the system and if it is not recurrent, we should contact our CAM (Ruud schlicher) or Controllers in Moerdijk (Ans vandenbemt and Pauline Flury):

  1. Monthly commissions
  2. Customers in bank statement
  3. Vendors in bank statement
  4. Social contribution


We need to contact the following list:

  1. Contact the Local Accountant in order to get instructions on how to post it when we have doubts;
  2. After posting in Customers we should inform OTC (change OTC)(error) to clear misdirect payments; 
  3. After posting in Vendors we should inform PTP (change PTP)(error) to match with invoice; 
  4. After posting social contribution if we have doubt we need to contact HR.


3.3.3.1. Monthly Commissions

After we need to use the following posting SCHEME:

Remove the amounts from Cash pooling Account 50980000 into BNP Paribas Account 51000757. The final Step, is transfer the amounts from BNP Paribas Accounts into P&L account 98300702 (cost Center 8298-2011). For monthly commissions use always the same posting Scheme (just pay attention to posting keys).

3.3.3.2. Customers in bank statement

The amount we have in account 50980000 is the same as in ACC DEB-CATI CLIENT. We need to be very careful to see if the bank statement is a customer or vendor. We need to retrieve the name and check in FD03 or FK03. For company 6301 the usual customer is Wilmar.

We need to confirm in invoice if customer is assign to CICC (should have D in invoice).

For Customers, we never transfer amounts directly to customer account. The counterpart account must always be account 51100860. After the posting is done, we need to inform OTC (change OTC)(error) in order for them to proceed with misdirect peymenth (payment?)(error) procedure. 

3.3.3.3. Vendors in bank statement

The amount we have in account 50980000 is the same as in ACC DEB-CATI CLIENT. We need to be very careful to see if the bank statement is a customer or vendor. We need to retrieve the name and check in FD03 or FK03. 

For company 6301 most comun (usual?)(error) Vendors are:

  • NV NUON SALES NEDERLAND 502562198
  • KPN MOBIEL GRONIGEN 502562199
  • KPN BACKOFFICE CONSUMENTE 502558128
  • BNP PARIBAS LEASING SOLUT 502562119


Bank statement with vendors we need to post two documents (Vendor accounts does not allow SK document type, so the second document we use SX);

We use payment block B(Accounts dept block). We need always to add profit center 6301-Z0449 in order to avoid non allocated amounts in Working capital.

For vendors, we transfer amounts directly to vendor account, if we cannot find the vendor in FK03 we need to confirm with locals. 
After the posting is done, we need to inform PTP (change PTP)(error) in order for them to match bank statement with invoice. In the end of the month if the invoice is not yet posted, we need to see with PTP (change PTP)(error) if is blocked in Cockpit. All the posting done in vendors in the end of the month should be balanced with invoice/ /credit note.

3.3.3.4. Social contribution

The amount we have in account 50980000 is the same as in ACC DEB/CRE-CATI CLIENT. When we have in text the In favor of X beneficiaries we should transfer this amount to 44900800 and 43900101 (it should be Controllers to provide us the correct allocation between both accounts).

The amount we have in account 50980000 is the same as in ACC DEB/CRE-CATI CLIENT. When we have in text the In favor of Belastingdients.
we should transfer this amount to 44700100 and 44900200 (If the amount is positive you should book on account 44700170, if negative you should centralize the amount of VAT of the month on 44900100). After we need to see if the Bank statement match with VAT quarterly posting.
