Tasks to be completed when documenting an operation (from creation to publication)

 1. Enter the Title of the operation / page

2. Add the following Labels

    • Scope of applicability: ww, country_accounting 

    • Country or group of countries (if applicable): belux, china, france, italy, lam, nam, uk_ie, bulgaria, dach, netherlands, iberia, poland, latvia, australia, india, japan, south_korea, thailand, singapore, new_zealand, emea_transversal, apac_transversal

    • Unit and Domain according to the List of labels to be used in the Finance Service Line space

      • E.g. 1: WW Operation in Financial Accounting under domain "Central Finance Processes & Compliance":
        • Labels to be used: ww, financial_accounting, central_fin_proc_compliance

      • E.g. 2: France Operation in Financial Accounting:
        • Labels to be used: country_accounting, france, financial_accounting
          (for country operations, the Domain is always country_accounting)


3. Fill in all fields as described above

4. Name the title of each section using OPD methodology naming convention - Infinitive verb without the “to”, mainly action verb...something) - " I do something..."

5. Once the description of the operation is completed, ensure it is approved and published by launching the SBS-Finance approval workflow

1. Objective and Scope

1.1. Objective of this Operation

The aim of this document is to verify and ensure the consistency between the movements in bank and SAP, and keep the locals informed.

1.2. Scope

This operating procedure applies to all UK companies.

3. Tasks description

3.1. Periodicity

SBS Accounting Platform will perform this task on a monthly basis according to the procedure.

3.2. I ensure consistency between the movements in bank and SAP

Every month several movements are booked in SAP bank statements. One of the purposes of posting the correct bank movement is to have the correct amounts for the interests' calculation. For this, the value dates are indeed very important, as they are used to calculate the monthly interests of the pooled companies.


3.2.1. I export the bank statement

Access bank website: https://connexis.bnpparibas.com/private_portal/homePage.jsp  (update the link and give a name)(error)
To login you need a personal 'Authentication ID', a Personal 'PIN' and a BNP Paribas gadget.

Take a look to each company 'Available balance' and write them down (usually it's zero).
Then double click to choose the company:

3.2.2. I extract the SAP statement

At transaction FS10N, select account 50604GBP30 and company code 0240 or 5658:

Click on the month balance to see the movements. Download the data into an excel file to save.

3.2.3. I perform the bank reconciliation

Open the reconciliation file at M drive (there's a file for each company):

Each file has 3 sheets:

At sheet 'BNP' paste the data from BNP (3.2.1. I export the bank statement).
At sheet 'SAP' paste the data from SAP (3.2.2. I extract the SAP statement).
At sheet 'Month Year' fill in the data as following:

1) Closing balances from previous month, in SAP and BNP

2) Reconciliation month, month balance at BNP, and month movements at SAP by posting key

3) Documents missing in SAP or in BNP

4) Check if SAP balance checks and check if the reconciliation difference is zero

5) Finalize by inserting your name and date

The file has two sheets, one for 0240 and other for 5658.
On the left, in black, there are the SAP postings, and on the right, in blue, the BNP movements.
The column in the center shows the differences in bright pink, these should be the documents missing in SAP or in BNP to fill in the reconciliation file.

3.3. I inform locals

The reconciliation files should be sent to locals by Freshdesk ticket.
