Objective of this document


Aim of the document

The objective of this document is to define common abbreviations and rules to be followed to indicate the materials and its packaging in the short description and sales/purchasing texts when creating and modifying materials.


Application


Domain of application of the document

This procedure must be applied for all material creation in PF2/050, either individual or mass creation in PF2/050 of several materials: finished product materials, raw materials and packaging materials.


Definitions

ERP

Enterprise Resources and Planning.
System working under SAP R/3 which manages the saleable articles, the bought articles, raw materials....

PF2/050

Production Reference System.
SAP environment where reference data, such as master files and tables, are maintained from which there are distributed to the applications.

D&A EMEA Team

Central organization in charge of the maintenance of master data in PF2/050.


Responsibility (Who does what?)


Responsibility
  • For the finished product materials, the SBU Marketing Manager and Logistic Manager are responsible of the validation of the product and it packaging.
  • For the purchased materials, the DIA Purchasing Managers are responsible of the validation of the purchased materials.
  • The Codif – D&A EMEA Team is responsible for checking the request and creating the materials in the respect of these rules.


Material description - Sales/purchasing text

General rules


Rules

D&A EMEA Team will check the request form of creation or modification of materials to complete the material with all information about the product and its packaging.

  • the finished products: the material description and the sales/purchase order texts are created in accordance with the SBU instructions.
  • the purchased materials: the material description and the purchase order texts are created in accordance with the CPN/DIA - Corporate Purchasing Network and SBU rules.The material description and the purchase order texts can be changed in one specific language with the validation of all plants - linked in the material - using this language.Example: the French version needs the validation of all Belgian and French plants.

    In PF2/050, D&A EMEA Team completes the short description, the internal comment and the sales/purchasing texts. The Bulgarian version is translated in local in PF2/050.
    D&A EMEA Team will use the common abbreviations to identify the materials.


Short description


The rules

The material description is an internal text (it serves only in internal Solvay use to designate the material and is not printed on the sales/purchasing documents) containing 40 alphanumeric positions. In each material, the short description is created for internal Solvay use, the SAP users can choose the material needed with this relevant information about the product and its packaging.

  • The short text can be entered in as many languages you like but nine languages are usually available: FR-EN-DE-NL-IT-ES-PT-BG-FI.
  • Usually there are completed in capital letters.There are 40 alphanumeric positions but three are free for deletion sign ###;.
  • It is inserted in the screen field SKTEXT-MAKTX in the Additional data/Descriptions view.

Sales/purchase order texts


Sales/purchase order texts

The sales/purchase order texts are created for external use (there are sent to our suppliers and customers), containing the long description of the product and its packaging, without internal abbreviations.
This commercial description, printed on all external documents, must be sufficiently explicit for your external customers and the authorities in the event of road or tax control.There are not sales texts in the purchased materials.

Please see below how to compose the short description and the texts by material types :

  • The finished products:Intermediate materials, material types Z707
  • Finished products, bulk or packed, material types Z700 (packed), Z701 (bulk)
  • The raw materials: Chemicals and pharmaceutical raw materials, including industrial gases and fuels, material types Z700
  • The packaging materialsMaterial types Z703

Rules
  • The short descriptionThe short descriptions are the same in each language.
  • The sales/purchase order texts For the finished products only, these texts are completed by D&A EMEA Team in the internal comment (view Additional data/Internal comment) and are copied automatically in all the sales/purchase order texts of the material.
    For a new material, it is easer to make the creation from a similar material with the same packaging.


Short description


Intermediate materials

The short text of the intermediate materials is made in two parts:

  • the type of product (internal abbreviations)
  • the indication of intermediate material: @INT
    For example: H2O2 DS 70 @INT
Abbreviations

A list of common abbreviations used to indicate the products manufactured by Solvay is available in the Appendix. This list by SBU is not exhaustive.

Bulk materials

The short text of the bulk finished product materials is made in different parts:

  • the type of product (internal abbreviations) and its concentration for specific products
  • the quality of product if it is not standard quality(LHN or LHNC: out commercial standard)
  • the production center A material's production center is defined in the material master file.This code indicates the product's production center initials.
    • if the material is mono-center (only one production center):*the abbreviation of the plant of origin
    • if the material is multi-center (different production centers):no indication
    • if the finished product is purchased to external supplier for resale: - *DIV (per default) - *the abbreviation of the name of the supplier, ex: *DPN (Dupont)
  • no indication of "bulk" in the short description
    For example: BaCO3 HP VL600S LHN *MAS= BARIUM CARBONATE HP VL600S out standard quality from MASSA.
Abbreviations

The tables in the Appendix are available to define common abbreviations used in the short description to indicate the products manufactured by Solvay and its production center. These lists are not exhaustive.

Packed materials

The short text of the packed finished product materials is made in different parts:

  • all indication about the type of product is the same than the bulk material corresponding: see the bulk material above
  • the characteristics of the packaging and the pallet with the specific marking for specific customer or authorities.

    For example: PAA 1523 *LH F230PE>VT13 P920H>70007256= PROXITANE 15:23 PERACETIC ACID 15:23 from LINNE-HERTEN in drum PE 230 kg marking DIVOSAN PERACID VT13 on pallet 920 kg with shrinfilm marking CODE 70007256.
    If the description is to long, it is sometime necessary to delete the spaces in the indication of packaging.The indication of product must stay the same than its bulk. It is necessary to indicate a characteristic in the short description to make a distinction between 2 similar materials.

    If a specific packaging is used only by one customer, no indication of a specific customer is inserted in the short description but it can be add at the end of the batch number.

The tables in the Appendix of it procedure is available to define common abbreviations to be used to indicate the packaging of materials.


Sales/purchase order texts


Content

In all finished product materials created with plant/sales views, the sales/purchase order texts are completed with the automatic copy of internal comment completed by D&A EMEA Team. The 3 views (internal comment/sales texts/purchase order texts) have the same content in each language respectively. The texts are made on four lines:

  • 1st line : the commercial name of the product2nd line and 3rd line: the characteristics of packaging4th line: a indication about the using of the product can be added

    Other indications:
  • 48 alphanumeric positions are available by line
  • Six languages are used usually: FR-EN-DE-NL-IT-ES.The Bulgarian version is translated in local.
  • Usually they are completed in capital letters.
  • In the HN materials –out standard quality-, the brand must be deleted and the indication of the quality of product is added at the end of the commercial name
    • NT for the German version
    • HN for the other languages

      For example
    • POLYVINYLCHLORID 371HE NTIN 25 KG PAPIERSAECKEN AUF 1250 KGPALETTEN MIT SCHRUMPFHAUBE
    • POLYVINYL CHLORIDE 371HE HNIN 25 KG PAPER BAGS ON 1250 KG PALLETWITH SHRINKFILM
  • For the SBUs AFM, EDS and SODA, the nomenclature « ISPM 15 heat treated » must be added in the materials packed on pallet heat treatment (abbreviation "HT" in the short description). For example:
    • BICAR Z 0/50 SODIUM BICARBONATE FOR ANIMAL FEEDIN 1000 KG BULK BAG WITH EMPTYINGSLEEVE AND LINER PE ON PALLET ISPM 15 heat treated
  • For the SBU Detergence, the nomenclature « pallet treated according ISPM15 » must be added in the materials packed on pallet heat treatment (abbreviation "HT" in the short description).
Automatic copy

The texts are completed by D&A EMEA Team in the internal comment (view Additional data/Internal comment) and are copied automatically in each languages in all the sales/purchase order texts of the material when the transaction ZZR17 (transfer ERP) is activated.

At the time of a mass change with the transaction MM17, the transaction ZZR17 (transfer ERP) must be deactivated. The transaction NS38, program ZZR_COPY_BEST_IVER can be used to copy the internal content to the sales/purchase order texts.

Chemical and pharmaceutical raw materials

    In each raw material, the short text and the purchase order text can be adapted in different languages, though only one text is allowed per language.
    For a new material, it is easer to make the creation from a similar material.

    Remark: The sales text is created only for raw materials linked to sales organisation. The content is only the name of the product (first line of the purchase order text).


Short description


Raw materials

The structure of the short description is defined by the CPN/DIA - Corporate Purchasing Network.The user can choose the raw material with these internal details.

  • the product and its characteristics
  • the raw material has never indication of production center
  • the raw material without packaging must be indicated in the short description: * GR
    For example: ANTHRACITE * GR It is necessary to indicate a characteristic to make a distinction between 2 similar materials.
Packed raw materials

The user can choose the packed raw material with these internal details.

  • the raw material and its characteristics
  • never indication of production center
  • the packaging type with relevant information only: * …
    For example: STABILOX CZ 3282 * BB1000
Abbreviations

The list of Abbreviations for packaging types in the Appendix of this procedure defines common abbreviations to be used to indicate the packaging of raw materials.


Purchase order text


Content

In all raw materials, D&A EMEA Team inserts the purchase order texts in the view Purchasing/Purchase order text for all plants. It contains the complete description of the product:

  • the characteristics of the product
  • the characteristics of its packaging

    It is recorder in as many languages as necessary for plants.All plants using the same language use the same purchased order text.
    The length of the text is unlimited.

Content

  • the indication of the finished product contained, the branding and the capacity can be indicated (optional).
  • never indication of production center

    It is necessary to indicate a characteristic to make a distinction between 2 similar materials.

In the attachments below, "the managing referenced materials in the field of packaging" is available to define common abbreviations to be used to indicate the material in the short description.

The short description can be changed in mass modification, transaction MM17: program TEXT: meticulously.
The deletion sign can be added in the short description in mass modification, transaction MM17: program TEXT_###.
