    • Unit and Domain according to the List of labels to be used in the Finance Service Line space

      • E.g. 1: WW Operation in Financial Accounting under domain "Central Finance Processes & Compliance":
        • Labels to be used: ww, financial_accounting, central_fin_proc_compliance

      • E.g. 2: France Operation in Financial Accounting:

3. Fill in all fields as described above

4. Name the title of each section using OPD methodology naming convention - Infinitive verb without the “to”, mainly action verb...something) - " I do something..."

5. Once the description of the operation is completed, ensure it is approved and published by launching the SBS-Finance approval workflow

1. Objective and Scope

1.1. Objective of this Operation

WHY - Describe the objective of the operation

The invoices/credit notes will only be available at D+4/5 of each closing and we need to make sure that the result and cash are properly allocated to the correct period. So to reconcile the vendor and customer accounts for ECC entity in SES, this procedure will show you how to:

  • Post the provisions linked to the spot purchases & sells of Gas & Electricity

  • Reconcile Newedge cash linked to ECC invoices and credit notes

3. Tasks description

WHAT and HOW - Main content of the operation

The content should be mainly organized in 2 levels of Headings to ensure a proper link with the Table of Contents.

Select the level of heading in the "Paragraph" option.

You may copy the previous file and save it on the current drive \\NOHVFS01\Treasury-GAR\SES\YYYY\MM

Example from July 2020 closing:

The file has 4 components/tabs:

a) One tab containing all information to be managed: cash flow, buy and sell gas/electricity. The tab name must be MMMYY (ex JUL20) 

b) Tab “batch reco newedge”: posting linked to the cash reconciliation of the period (SAP posting) 

c) Tab “batch achat gaz elec”: provision linked to the gas & elect purchases of the period (SAP posting) 

d) Folder “ batch vente gaz elec”: provision linked to the gas & elect sells of the period (SAP posting) 


3.1. I receive information from SES controller

During D+1 the controller of energy will send you the provision details:

We will use this information to build our reconciliation and book the provisions.

The data is located in the tub .

Please note that we need to adjust the fees in order to arrive at no balance.

Thus add or deduct the balance amount from the cell N28 and could be in the cell N42.

3.2. I update information on the analysis tab

Please follow the steps:

a) Cell E1 (update the period)

b) Cell H5 the amount must be the opposite amount that you see in vendor account 127263:

This amount in SAP was booked by the finance operations team and they performed a similar reconciliation but according to the actual invoice/credit notes received. 

c) Cell H12 the amount must be the opposite amount that you see in vendor account 115027 

This amount was booked with our Cadrage reconciliation. It´s the cash movement occurred between SES and Newedge.  

Please note that vendor 115027 has also receivables as customer.

It is possible to offset A/R against A/P sometimes for some invoices.

We can clear it in SAP via transaction F-44 or F-32 (on the customer side).


d) Cells H15 to H18 are populated by the following tables:

We use these tables to put the information provided by the controller. Be sure the information is correctly allocated by commodity type, quantity and cost center.

e) Cell H23 balance must be equal to zero, so we need to adapt manually cell H22 accordingly


3.3. I check postings are ok

In all posting files you need to update the figures because they are being retrieved from period M-1. Usually you just need to replace the name of the tab in each formula because the cells will be always the same:


Be sure that the controls are zero as well:


3.4. I send for posting

Or you either send the file for posting to Treasury Accounting or you can post it yourself.

if you post yourself, do copy past values of the tree tubs to the tubs ending with PV at the end.

Save the file with the necessary tub to be uploaded.

Use the following transaction to upload the file in SAP and attach the file to the transactions just uploaded.

You might need to correct the numbers to reflect 2 digits for cents in SAP.
