1. Objective and Scope

1.1. Objective of this Operation

WHY - Describe the objective of the operation

The auditors requested a reconciliation of the P&L where they can see:

1- The impacts coming from each source of information (DWISE vs NEWEDGE) registered in SAP

2- Realized impact vs Unrealized impact (Latent)

1.2. Scope

Detail the scope (legal entities, etc.)

This procedure applies to Solvay Energy Services (Company code 3865)

2. Definitions

Definitions should be added in the Finance Glossary - Add definition and link it to respective Letter in Finance Glossary

See Finance Glossary:

  • ...

3. Tasks description

WHAT and HOW - Main content of the operation

The content should be mainly organized in 2 levels of Headings to ensure a proper link with the Table of Contents.

Select the level of heading in the "Paragraph" option.

This procedure will be based on the closure of September 2020. You may find the file saved here: \\NOHVFS01\Treasury-GAR\SES\2020\09 2020\Audit

3.1. I update BDD tab

On this tab we will retrieve information from SAP. Go to FS10N with GL accounts 98300811 and 98300814 and download the YTD perspective in excel.

The idea is to input this retrieve in to the tab "BDD" but we need to work on the information before we can transfer it. Please follow next steps:

1- Rearrange the columns accordingly;

2- Create 3 columns and fill each line according to its source, commentaries and R/L (realized/latent). Inside the folder "Audit" you will notice a excel file with the name "P&L used for audit files". Here I arranged the information according to the text. You can use this file to help you fill the 3 columns.

3- Copy paste the data to "BDD" tab

3.2. I update TCD tab

This tab is showing a pivot table and the source of information is coming from tab "BDD". It will be used to fill up the table placed in tab "Synthèse YYYY":

Take a screen shot of FS10N and make sure that the grand total in the pivot table matches the result in FS10N:

3.3. I update SES (...) tabs

Each tab its linked to the following tables in "Synthèse YYYY":

This table is summarizing all SES (...) tabs and we are looking exclusively to the information coming from Newedge

We will use the realized impact coming from SES (...) tabs to allow us to make a ventilation between latent vs realized

To fill in the figures we need to use CO2 pivot, Cadrage and Arbitrage files because we are recomputing the P&L impact through a "T" account the impacts coming from Dwise and the Newedge reports. Unfortunately, this section is manual and we need to take extra care when allocating the information to each "T" account.

3.3.1 I update tab "SES01 OTC YYYY"

Build the information accordingly, where M = Month being closed and N-1 = December N-1:

Make sure control check in cell AA18 is zero.

Take a print screen from SAP (98300811+98300814 YTD from FS10N) and filter on assignment "MTM - DWISE FWD_SW":

You should end up with the same result.

3.3.2 I update tab "SES01 YYYY USD"

Build the information accordingly, where M = Month being closed and N-1 = December N-1:

Make sure control check in cell AA41 is zero.

Take a print screen from SAP (98300811+98300814 YTD from FS10N) and filter on assignment "NEWEDGE SES 01USD":

You should end up with the same result.

3.3.3 I update tab "SES01 YYYY"

Build the information accordingly, where M = Month being closed and N-1 = December N-1:

Make sure control check in cell AA47 is zero.

Take a print screen from SAP (98300811+98300814 YTD from FS10N) and filter on assignment "Deals expis NE" + "MTM - Trade Newedge":

You should end up with the same result.

3.3.4 I update tab "SES03 YYYY"

Build the information accordingly, where M = Month being closed and N-1 = December N-1.

Also apply the same approach that we show on sub chapter 3.3.3. except for the following part:

Make sure control check in cell AA42 is zero.

Take a print screen from SAP (98300811+98300814 YTD from FS10N) and filter on assignment "NEWEDGE SES 03":

You should end up with the same result.

3.3.5 I update tab "SES04 YYYY"

Apply the same approach that we show on sub chapter 3.3.4.

Make sure control check in cell AA41 is zero.

Take a print screen from SAP (98300811+98300814 YTD from FS10N) and filter on assignment "NEWEDGE SES 04":

You should end up with the same result.

3.3.6 I update tab "SES06 YYYY"

Apply the same approach that we show on sub chapter 3.3.4. However, this underlying is exclusively being traded in USD, which means that every time we are assessing the impacts by variation we have several different exchange rates being considered at the same time. That´s why you have an additional table where we are reflecting this impact from a report perspective:

Make sure control check in cell AA41 is zero.

Take a print screen from SAP (98300811+98300814 YTD from FS10N) and filter on assignment "NEWEDGE SES 06":

You should end up with the same result.

3.3.7 I update tabs "SES08 YYYY" & "SES09 YYYY"

Apply the same method has described on sub chapter 3.3.4

3.4. I update Analysis tab

In this tab you have to make sure that the following checks are in order:

1- Cell B35. This cell is making the link from the previous tabs to the table being displayed. This table is basically a summary of the previous information

2- Cell Z20. It´s not a check but its important to have the same figure as we have from FS10N (YTD perspective 98300811+98300814)

3- Cells U20 and N35 should fall back to the same amount:

End of document.
