Objective and Scope
1. Objective of this Operation
The purpose of this analysis is to reduce the number of cost objects that have not been used for 18 months that will lead to clear database, reduced risk of amounts allocated to obsolete CO objects, less chance of errors during month end close and less ad-hoc workload during peak periods.
2. Scope
This analysis is applied to all companies. We will use all cost centers, WBS elements and Internal Orders for data collection.
3. Tasks description
We will use Cost Center, WBS Elements and Internal Order Master Data List for our data collection using reports from SAP and BW.
3.1. Cost Centers with no costs during last 18 months.
I will use BW P&L query to check on the cost centers:

Important fields to have in our analysis:
- Calendar Year/Month
- Cost Center
- Exclude all "CHEF/#" in order to have only CCs with no costs during last 18 months

- Next step is to pull BW - Cost center Master data:

- Next step is to match P&L and Cost center Master data queries
- On Master data Tab we do V-Lookup to P&L Tab: N/A = Cost centers with no costs during last 18 months:
- Next step is to pull report from SAP transaction KSB1 - Cost centers not detailed on P&L BW Query, however they received costs that were re-classed to other Cost Centers:

- A new analysis should be done: looking for all Cost Centers obsolete object 0 not reported on BW query, we should exclude Cost Centers that have cost through KSB1:

- We should select the lines with N/A on our first check and verify if they are detailed on KSB1:

Cost center should be locked:
- Obsolete object 0;
- not detailed on BW query;
- not detailed on KSB1;
- Without costs on last 18 months.
Contact Controllers in order to confirm if Cost Centers can already be CLOSED

3.2. Internal Orders with no costs during the last 18 months
For this analysis we should use:
- BW_QRY_CPCOCT05_1001 - CO$TA - Origin View
- SAP transaction: KOK5

Important fields to have in our analysis:
- Calendar Year Months
- Order
- Order type
Select Internal Orders:
- PF1- order Y*
- WP1 - ZORD, Y997, Y998 and Y999:

- Next step is to pull SAP report transaction KOK5 - Master Data List for Orders:


- Contact Controllers in order to confirm if Orders can be closed.
3.3 WBS elements with no costs during the last 18 months
For this analysis we will use:
BW PS query BW_QRY_MPR_PS014_0011
- New Projects costs & Cash Out
- To check WBS elements without any movements
- The analysis excludes intercompany WBS elements

Important fields to have in our analysis:
- WBSE Date of the last PEC
- WBSE Syst.status
- WBS Type
- Project Creation date


- After the query is executed, please include the field "project creation date" in the layout and filter by date using the same date from the field "WBSE Date of the last PEC". If the projects were created less than 18 months ago, then we cannot close them.
- Please remember to exclude deactivated company codes from the analysis. These can be identified by the company code description (*D* in PF1, ZZZZ in WP1).
- Contact Controllers in order to confirm if WBS elements can be closed.
