Purpose
The purpose of this document is to define the conversion approach to create conversion for Object 1111 – Activity Rates in S/4 HANA.
Activity Rates are the current active rates for different activities performed either for production, plant maintenance, HR etc. The activity rates capture the planned cost for a certain activity over a period of time. E.g. Factory overhead is charged to production orders via relevant activity types maintained for absorbing factory overheads. The activity rates are maintained for a combination of activity types and cost centre combination.
The document details out the field list, extraction criteria, scoping, mapping, transformation logic, generation of the pre-load file and loading of the same with respect to the object 1111- Activity Rate.

COEJT - This table stores the year related line items for activity prices. It holds data about the planned and actual costs associated with activities within an internal order/ work centre for a specific fiscal year.
- KOKRS – This field stores the controlling area information.
- BELNR – This field stores the document number once the activity price is updated through KP27 or uploaded through a program. This is autogenerated by the system.
- BUZEI – This field stores the posting row information. This is auto generated by the system.

The requirement is to migrate planned activity rates. The actual activity rates would be performed within the S4 system as a part of the month end activity.
The activity prices can be extracted from the legacy SAP system and loaded to S4 Hana. Migration object Cost rate i.e. “S4_CO_ACTIVITY_PRICE” can be used for migrating the planned activity prices. SAP has also provided function module “BAPI_COSTACTPLN_POSTACTOUTPUT” for migration of activity prices. Some activity prices will be extracted from ECC, while others will be provided by the business in the DCT page.

Data Cleansing
For the purpose of the Object 1111- Activity rates, it is expected that only the relevant data will be extracted to the S4 system. Activity rates for some activities will be provided by the business in the DCT page (refer to relevancy section for details). Data cleansing is not relevant for extraction. The data will be extracted based on the signed off relevancy criteria.
Conversion Process
The generic high-level process steps for the conversion are as below:
- Extraction:
- Extract from the source systems: Apply the selection parameters and data relevancy as mentioned in this specification, from the relevant tables
- Transform
- Transform fields by applying the fields and value mapping in the Syniti
- Generate and validate Pre-load files
- Load
- Load the validated Pre-load file using migration object “Cost rate” i.e. “S4_CO_ACTIVITY_PRICE” for migrating the planned activity prices. SAP has also provided function module “BAPI_COSTACTPLN_POSTACTOUTPUT” for migration of activity prices.
Data Privacy and Sensitivity

Extract data from a source into. There are 2 possibilities:
- The data exists. connects to the source and loads the data into. There are 2 methods:
- Perform full data extraction from relevant tables in the source system(s).
- Perform extraction through the application layer.
- The data does not exist (or cannot be converted from its current state). The data is manually collected by the business directly in the DCT (Data Collection Template) page. There are some activity prices for which the business will provide data in the DCT page.
- The extraction will be based on the signed off extraction rules.
- The relevancy criteria for activity rates would include (Source Conv Spec Relevancy criteria)
- The latest activity rates as on the date of cutover will be used for migration. E.g. Year = cutover year, period = cutover period i.e. the activity rates as on the date of cutover e.g. if the cutover is 31st Aug 2026, then the activity rates as existing in ECC as on 31st Aug 2026 will be considered. All active activity type where the activity rate is greater than "0" will need to be migrated.
- Activity rates of active activity types (i.e. valid activity types and corresponding cost centres) would be considered for migration
- The activity rates should correspond and align to the Activity Price, quantity and technical specifications as maintained in the legacy system.
- Any changes or adjustments to the activity rates, required for harmonisation will need to be approved by the business.
- The source for activity rates as agreed with business will be as mentioned below (source: Conv Spec Relevancy Criteria)
- Activity rates for production activities will be provided in DCT by business

Transformation
The Target fields are mapped to the relevant Legacy fields that will be its source, this is a 3-way activity involving the Business, Functional team and Data team. This identifies the transformation activity required to allow to make the data Target ready:
- Perform value mapping and data transformation rules.
- Legacy values are mapped to the to-be values (this could include a default value)
- Values are transformed according to the rules defined in the value mappings.
Prepare target-ready data in the structure and format that is required for loading via prescribed Load Tool. This step also produces the load data ready for business to perform Pre-load Data Validation

Transformation Rules
Activity rates from some activity type will be extracted from ECC (WP2 and PF2 system) while for others these will be provided in the DCT page by business. The guidance as agreed in relevancy meeting are as below.
- Activity rates for production activities will be provided in DCT by business
- Activity rates for Maintenance. IT. Engineering and R&D will be takeover values i.e. will be extracted from ECC
- Activity rates for employee cost will be takeover values these will be extracted from ECC.
- Activity rates for Plant Maintenance will be taken over values i.e. will be extracted from ECC.
- Activity rates for contingency workers will be provided in DCT by business.
