1. Objective and Scope
1.1. Objective of this Operation
The purpose of this document is to describe the procedure on how to update the Rollforward for IFRS16, report that contains the comparison results between BFC and BW (SAP) for results and flows.
The Rollforward is performed so we can compare the information in SAP - information obtained through BW - with the information in BFC.
The goal is to guarantee that Debt and RoU are aligned and without differences (or if they have, we have a justification for the specific case) - similar to the comparison performed between SAP and BFC during the Monthly End Closing but with a special attention to the flows.
1.2. Scope
All the companies that follow IFRS 16 accounting rules.
The procedure is executed on a monthly basis until D+6 or after BFC Retrieve update.
2. Responsibility
SU MAC is responsible:
- For updating the file
- Archiving the file
- In case of any difference, it needs to be justified
3. Report Procedure
3.1. BFC Retrieve
We receive the information (usually from the Expert) that the BFC retrieve is updated and that the team can proceed with the Rollforwards. The BFC Retrieve must be downloaded.
3.2. Update the File
All Rollforwards from the past month must be downloaded from the drive to the computer.
Open the Rollforward and run the Prompts (Analysis > Prompts) for the closing month
Please, update the information in the window that pops:
- Check the company code
- Change the date for the closing month
- Check if SCO is the Scope filled
- Check if the Leg.PRS Comp. %reval. is 3
Change the data source by replacing it with the new BFC retrieve. Go to Data > Workbook Links > Change Source > Choose the BFC Retrieve file for the closing month
3.2. Check for discrepancies
Check if the tabs BFC DEBT, BFC Receiv (for subleases) and BFC RoU are with check status “ok rounding” (in cell Q1)
In case of differences, they need to be analyzed to see what the issue is. All differences need to be justified. Usually, differences are related to manual entries or a manual adjustment made in BFC during the closing. Sometimes it can be related to a BW bug as well. This will be a case by case scenario.
Once the file is properly updated and without differences, save the file changing the name to the current period (keep the format “BFC Code IFRS16 Rollforward month.year status”) and upload it back to Drive, into the appropriate folder (they are usually split by Region, Quarter, etc.).
