1.1. Objective of this Operation

The purpose of this procedure is to explain how to create and update a statistical key figure.

Statistical key figures provide information on non-monetary data for profit centers, such as:

Number of employees;
Number of machines;
Capacity usage;
Market information, …. 
     
Statistical key figures can be grouped together into statistical key figure groups. 
Allow to display characterizing information about profit centers in addition to the usual monetary data from accounting.

Some examples of Statistical Key Figures area:

  • number of employees
  • square meters or feet (for administration, production, storage, and so on)
  • number of telephones, PCs, and so on
  • calling units for telephones
  • market share of a product group

Statistical key figures can be used in the information system to analyze such typical controlling information as:

  • sales per employee
  • personnel costs per employee

3. Tasks description

3.1. I get informed of a need for a statistical key figure creation or update

I receive request through service one or through the Finance data PRS workflow that a statistical key figure (SKF) needs to be created.

3.2. I analyze the information provided in the request 

I analyze the information and ensure that it's done by an authorized requester in document “PLANT COSTING CONTACTS”.

We can receive a request to create, extend or maintain a key figure.

The procedure explanation is linked with PF2 system. In WP2, the statistical key figure (SKF) usage is very small. Until 2013, SKF were not applicable in WP2.

With the harmonization of the Insurance and IAS 19 procedures managed in SBS, Statistical Key Figures started to be used.

Considering this, currently we have some process dedicated SKF (contact process owner in case this kind of SKF are requested) and SKF for local usage (can be requested by the controller (GBU or site / company / plant and it is not necessary to inform SU MAC Costing).



There are 3 different types of SKF to consider:

  • SKF related to Utilities (fixed costs allocation), it is necessary to request additional validation from SU-MAC Costing Process Expert.

Linked with production cost center and it's codification (link with SCo file "Working File 4- MODEL-CCCC.xlsx"), based on file PR_Utilities_structure and sap customization (link to SCo file "PR_Utilities_structure and sap customization.xls)



  • In case the requested SKF is WW / Global (starting with ZZ), it is necessary to request additional validation from SU-MAC Costing Process Expert.

Example:


  • If the SKF is to be used locally (GBU or site / company / plant), it can be requested by the related controller and it is not necessary to inform SU MAC Costing.

There are no specific guidelines for the codification of the local/site SKF, but there are some padrons we can follow. A good example, widely used, is the SKF codification to start with the R3 Establishment code of the company plant (consult transaction ZPRI).

Example, checking the report group 1KMA "Stat. Key Figs: Period Breakdown" in transaction GR55:



Mandatory fields:

  • Name
  • SKF Unit of measure
  • SKF category
    • Fixed value: Values are updated once and they are used in the following periods
    • Total values: Amounts have to be updated every month

3.3. I perform the statistical key figure maintenance/creation or extension

Start the transaction using the menu path or transaction code KK01

  1. Fill in the code of statistical key figure you want to create
  2. Click on  or 





STEP 3

  1. Enter a name
  2. Indicate a unit of measure (press Enter to display the name).

  3. Specify if the key figure values 

  • There are 2 kinds of Statistical Key Figures, with fixed values and with total values, see in the master data in the category field.

     For Statistical Key Figures with Total values:

    • Postings are valid for the month only ; if not posted on a specific month no value is available;
    • Postings in the month are adding ; if a file is posted twice on the same month, the quantities in SAP  will be double.

    For Statistical Key Figures with Fixed values :

    • Postings are valid for several months ; if not posted on a specific month the value of the previous month is used;
    • Subsequent postings are replacing the previous ones (from the month or before) ; if a file is posted twice on the same month, for each receiver only the last input will be taken into account ;
    • As a consequence, if we need to fully eliminate a value for a receiver coming from a previous posting (value not replaced), it is necessary to post “0” on this receiver.
