A workflow is used to track and control documents trough document inception to finalization.
How do we use the approval Customer Credit and Trade workflow
The GBS Credit Management approval workflow is activated in GBS Credit Management space
DRAFT
Contributors create pages .
User list not rendered as you do not have the privilege to view user profiles.
The workflow has the status draft.
Once the procedure is finalized, the contributor changes the status to FOR REVIEW by clicking on the iconand assign a reviewer on the list sbsotc-reviewers :

FOR REVIEW
The author assign to someone who is in the sbsotc-reviewers
clickon Assign
Enter the name of the reviewer (if you can not find the name, it is not included in the sbsotc-reviewers group)
Enter a comment
Click "Assign"

The reviewer assigned has 5 Days to approve and modify the status in 'TO BE APPROVED' after 5 days the status becomes again DRAFT
The reviewer assigned can modify the operating procedure or ask the contributor for some other information and modify the status from For Review to 'To be Approved" and assign an approver who belongs to the list :

TO BE APPROVED
The status of the page can be changed by someone who belongs to the group:
User list not rendered as you do not have the privilege to view user profiles.
The approver assigned can ask for additionnal information , comment and/or Accept by changing the status from "to be approved" to "published" and can change the date of validity (cancel it or update it if you want a periodic review) => see next step

The approver has 5 Days to approve and modify the status in 'PUBLISHED' after 5 days the status becomes again FOR REVIEW
PUBLISHED
The procedure is published and accessible for every body
Click again on the workflow icon
You can choose
1/ to registered an expiration date if you want to review this operating procedure regularly or in the future (blue arrow)
2/ to publish it definitively so click on the x to cancel the expiration date (red arrow)
You can check the status of page:
The status beside the title of the page
You can see if someone is already in charge of the change of the status
You can see where you are in the workflow
You can see the history of th workflow by clicking
When a page is modified it comes back to the status FOR REVIEW
And it has to be reapproved.
The page that is visible by every body is the one that is PUBLISHED
But contributors can see that there is a version "in progress" and can switch from the version "in progress" to PUBLISHED
When a reviewer or an approver is assigned, he:
1. receives a notification by email
2. has a notitification in his box in Confluence
3. has a report of all pages he has to review/approve in "My Comala Workflows Tasks" (to be opened by clicking on his picture on right side of the menu)
4. has a report of all pages he has to review/approve in "My Comala Workflows Tasks" on his home page (=Confluence dashboard)

If someone is missing or should be excluded (if you know the person left the company or has a new job), you can go to : Request access
Are you sure you are looking the "in progress" version ? You can switch from the version "in progress" to the version "published" (that doesn't take into account your last modification) by clicking on "published" or "For review"
