Refresh only one data source (instead of the whole workbook)

  1. Click somewhere in the data source crosstab area 
  2. Click the small triangle under "Prompts", then select "Prompts for Data Source".

Then you will be see Prompts for only this data source.

Sometimes the data source crosstab area may be only one cell with text "Data removed. Refresh to update data to display" or "No application data". Then you need to click on the cell.

If "Merge Variables" is checked for the workbook, you will not be able to select "Prompts for Data source"  because you can only refresh the whole workbook in such a case.

A good way to uncheck " Merge Variables "

For "Merge Variables",

  • Every time you change your selection for this property in the workbook, the connected data sources are restarted. The prompting dialog will therefore appear automatically so that you can define the values before the data sources are refreshed.  If the data sources are not connected, the dialog will not appear, and only the property will be changed. So if you want to change this option, better to do it before you do any refreshment. Once you've done a refreshment, to change this option, you will need to refresh the whole workbook again. This can takes long time.
  • If you select this option, all prompts in the workbook are listed in the Prompts dialog, without clearly knowing which prompts belonging to which data source. You can define values for each prompt. These prompt values are valid for all data sources that contain the prompt.
