Objective and Scope

The purpose of this Section is to provide a step by step procedure to execute User Replacement Program.


 

Consideration before launching the replacement program

  • The replacement program is launched from the record of the user that will substitute the old user.

  • The old user should already be inactive before launching the program.

  • The daily replacement will occur at 1AM everyday.

  • You cannot assign a replacement date in the past or for the current day, only for future days.

  • Only System Administrators,System Admins (Lite), and GBU Data Stewards can initiate the replacement process.

Step By Step Procedure

  1. Open this report to track users last login date
  2. Contact the manager to confirm the user can be deactivated (if last login older than 120 days)
  3. If Manager agrees, apply the Process "User deactivation"

  1. Download this HR data users report from Salesforce

2. Rename it SFDC users on your PC and open it

4Removal from HR database : Track the users that have been removed from HR Database
  1. Open this other Excel file from Wiki (Changes in HR database.xlsx) that contains 3 tables named
    • This_Month
    • Last_month
    • Table_Users

4.1Update Last_Month table

In the Changes in HR file

  1. Copy the data of column A
  2. Paste data after the last entry of column E
  3. Delete old table rows of column E (those before you pasted the data of column A)
4.2Update This_Month table
  1. Ask file of all identified Spp users to Angela Reganall. Copy the data in column under the header "Email" [ file generated in User Maintenance process (Point 3.3) ]
  2. Paste data in "This_Month table", after the last entry of column A
  3. Delete old table rows of Column A


4.3Filter data
  1. Filter User Status (column F) on value = "User Removed"
  2. Identify Active Users and their Managers incolumns G & H
  3. For these still active users, Apply the Process "User deactivation"
