iSource Quick Source Event Creation

1.Introduction


The purpose is to explain how to create a Quick Source event in ZYCUS iSource.
While the full source event is more suited for strategic and complex sourcing scenarios, QuickSource facilitates sourcing activities with less number of line items to be sent to only a handful of suppliers.
QuickSource is more suitable for low dollar value sourcing and emergency purchasing activities.

How to create a Quick Source Inquiry


  • To create a new Quick Source Event in iSource, a buyer has 2 options:

1.From the Hamburger menu select the option Quick Source and you will be redirected to Quick Source Inquiry list page.


 


2.From the Hamburger menu select option My Events and on the upper-left corner and click on Create New Event.


A pop up window will be displayed and you should select on "Create Quick Source Inquiry".

3.From the Hamburger menu select option My Events and on the upper center select Show Quick Source Inquiries.

  • To create a new Quick Source Inquiry you need to click on "+" button


You will be redirected to Create Inquiry page and proceed by inserting the Title on "Untitled Inquiry" and insert all the mandatory fields. You can also set the default currency.
Once all information is filled in you need to set the date / time and save as draft or send. If you publish the inquiry for the suppliers to response, the suppliers will receive an email for the same.

2.How to fill sections on the Quick Source Inquiry


  • Include item details: Click the + button to save the item details. Similarly you can add multiple line items.

  • Questions for Supplier(s): In this section, you can add questions for the invited suppliers.


  • Opening Message for Supplier(s): In this section, include an opening message for your suppliers.


  • Attach documents for Supplier(s): you can upload inquiry supporting documents in this section.

  • Invite supplier(s): Add operational and potential suppliers for the inquiry.


If the Supplier exists > Enter the supplier's company name. If the supplier is existing in your database (iSupplier), then it will auto populate the company name, supplier contact and supplier email ID.
If the Supplier does not exists > If the supplier does not exist in your database (iSupplier), then add required information such as:

  • Supplier Company Name
  • Supplier Name
  • Supplier Email


  • Add Collaborator: Add the internal iSource users to review the created inquiry.

  • Inquiry end date: Enter the time and date by which you wish to receive quotes from the suppliers.



Now you can choose to save the inquiry form as draft or publish it.

3.How to work on Quick Source Inquiry List


  • All the latest sourcing inquiries will be listed on Quick Source page.


  • Suppliers Invited v/s Suppliers Responded: Displays the number of suppliers invited versus the number of suppliers who have submitted the bid/response for the event.


  • Event Status: Displays the current status of the event (along with the count down time to event closure)

  • Savings %: For a closed and awarded event, you will the savings % based on the supplier response for that event.


  • Modify Closure Date: Allows you to change the closing date of an inquiry. You can choose to pre-pond or postpone it. Click on the calendar icon to modify.


  • Timeline View: This allows you to view the progress of the event from the time it was created till date (latest action at the top). Click on the bell to view.


  • Modify published inquiry: This allows to add supplier, add contributor, modify closure date, view inquiry, copy and view responses.


  • Edit draft inquiry: This allows to add supplier, add contributor, modify closure date, view inquiry, copy and edit the inquiry.



4.How to view suppliers answers


  • On the QuickSource listing page, find the inquiry for which you want to view the supplier response and click on inquiry tile.

  • Supplier Response page will appear and you will be able to view the comparison between the responses of each supplier.


Note: If the event is on-going and if the invited suppliers have not responded, then you have an option of sending a reminder to the supplier. Use the icon for a supplier as highlighted in the image below.

A reminder will be sent to the supplier and you will be notified about it as shown below:
