Introduction
In most part of local regulation, the major changes in the Safety Data Sheet need to be tracked and highlighted for the customer.
The functionality of Revision mark in SAP-EHS system with the concept of versioning is the way to track modification done since the last generation of an SDS.
SDS version update is defined by the SDS Writer as a major or a minor version.
- Regulatory context
European regulation
The text of point 0.2.5 of the revised Annex II of REACH (part A), specifies that:
“The date of compilation of the safety data sheet shall be given on the first page. When a safety data sheet has been revised and the new, revised version is provided to recipients, the changes shall be brought to the attention of the recipients in Section 16 of the safety data sheet, unless the changes have been indicated elsewhere. For the revised safety data sheets, the date of compilation, identified as “Revision: (date)”, shall appear on the first page, as well as one or more indications of which version is replaced, such as version number, revision number, or supersedes date.”
Revision mark process
Revision mark Prerequisite
The revision mark will only appear if it already exists a validated version of the document.
The first version of the documents is always v1.0.
How to set a revision mark in SAP-EHS?
The revision mark in SAP-EHS are maintained in each instance in the usage tab, by ticking the “Relevant” case.
This revision mark is set on the Product specification by the SDS Writer or on the Pure Substance Specification by EHS Admin or in the DG_CL_SUB by the DG admin.
Note that if a relevant mark is maintained at PROD_COM level, a parent PROD_COM will also inherit the mark.
2. In chapter 16 of the SDS:
2.1 A sentence has to be added precising that the SDS has been updated and what are the modifications (if it a major update, this is mandatory, if it a minor update, this is desired).
2.2 There can be other sentences specific for some local parts (i.e. Turkey).
How revision Mark are displayed in the Safety Data Sheet?
The Revision Mark will appear in the next version of the document. Therefore, a new version needs to be generated before checking.
In the mass creation report, it is needed to choose whether the document will have a minor or major modification, implying a minor/major version of the SDS.
In the SDS this information is in the footer. In this example, the version is the 6.03 of the Product with the specification PRCO90013063, of Turkey in English language.
The generation program checks if there are Revision Mark to be set.
If so, then the document is set as relevant meaning that it would create a major version.
If not, then the document is set as not relevant meaning that it would create a minor version.
All changes, notified as relevant, done since the last generation date will be displayed with a revision mark.
Warning: if we change and generate an SDS just after - on the same day, the next SDS generation will include the mark corresponding to the change in the day of the last generation date.
Note: In SAP-EHS it is possible to view the previous versions of the documents.
