Tasks to be completed when documenting an operation (from creation to publication)

1. Enter the Title of the operation / page

2. Add the following Labels:

    • Scope of applicability: ww, country_accounting

    • Country or group of countries (if applicable): belux, china, france, italy, lam, nam,uk_ie, bulgaria, dach, netherlands, iberia, poland, latvia, australia, india, japan, south_korea, thailand, singapore, new_zealand, emea_transversal, apac_transversal

    • Unit and Domain according to the List of labels to be used in the Finance Service Line space

      • E.g. 1: WW Operation in Financial Accounting under domain "Central Finance Processes & Compliance":
        • Labels to be used: ww, financial_accounting, central_fin_proc_compliance

      • E.g. 2: France Operation in Financial Accounting:
        • Labels to be used: country_accounting, france, financial_accounting
          (for country operations, the Domain is always country_accounting)

3. Fill in all fields as described above

4. Once the description of the operation is completed, ensure it is approved and published by launching the SBS-Finance approval workflow

1.1. Objective of this Operation

The purpose of this document is to explain how to perform bank reconciliation for entities in APAC.

1.2. Scope

This procedure applies to Asia Pacific companies in PF1.

3. Tasks description

3.1. I get the bank statement

Finance Operations team will get the bank statement from several sources:

  • Direct download from Bank's website
  • Submit the scan of bank statement by Local team
  • Submit the paper statement by Bank


Example data from Website: CitiDirect.

  • Secure token is to be used for download data from website. Token kept at Finance Operations Specialist only.

 


Follow log in page using secure token. 

  

 

 

Click on "Customer Administration" and select "Link to Client".

List of company will be appeared. Choose the company as decided.


On menu "Report" select function "Cash statement report".

 


Edit report selecting "Bank account" and "Date range".


Click on "Run" and waiting for system to generate report.

 

3.2. I download the data from SAP 

Go to Transaction FS10N

  • G/L account: Put Bank account (See Bank master data file and mapping with GL file name "Bank Master data Y2014.xls")
  • Company Code: Put Company Code
  • Fiscal Year: Put Current Year

 


  • Download data of current month balance to excel file 

 


  • List  Export  Spreadsheet 
  • Save to excel file 

 

3.3. I compare the bank statement and the data from SAP

Compare Bank Statement and SAP (GL balance) in working file. 

3.4. I trigger the necessary actions to reconcile the items

  • For Outstanding

Update outstanding in Bank reconcile file and create Freshdesk ticket to Local Accountant, with Purchasing and and Customer, Credit & Trade in copy, to review and make follow up on pending items in the reconcile report. 


  • For "Cheque/Money Transfer" and "Letter of credit" (Bank charge)

Transaction "Cheque/Money Transfer" and Letter of Credit (Bank charge) will be perform by Finance Operations team.



a) Transaction "Cheque/Money Transfer" between Current A/C and Saving A/C record as below:

    • Dr.50602THB30 (Current A/C) 4,604,117.42
    • Cr.50602THB31 (Saving A/C)4,604,117.42 

b) Transaction "Letter of Credit" (Bank charge) record as below:

    • Dr.6590900000 Misc bank charges
      • Cost center (Division Level) 500
    • Cr.50602THB31 (Saving A/C)500
